TQ Nordic provides skills and personality assessments in its operations, where candidates are evaluated and assessed for employment. Based on these tests, candidate reports are generated that present test results.
TQ Nordic values personal integrity and always strives for a high level of data protection (for example, we would never sell your personal data to another company).
This privacy policy describes how we process the personal data you entrust to us in order to gain a better understanding of your abilities, skills, and personal development throughout your career. The policy also explains your rights under GDPR and how you can exercise them.
It is important that you read and understand the privacy policy and feel confident in how we handle your personal data.

Personal data is any type of information that can be directly or indirectly linked to a living individual.
Processing of personal data refers to any action performed on personal data. Any measure taken with personal data constitutes processing, regardless of whether it is automated or not. Examples of common processing activities include collection, registration, organization, structuring, storage, adaptation, transfer, and deletion.
Your current, future, or potential employer is the Data Controller for most of the personal data you choose to share when completing TQ Nordic’s skills and personality tests. Depending on the assignment type and the instructions provided by the Data Controller (our client), the personal data we collect and process on their behalf may include:

When you are asked by your current, future, or potential employer to complete one or more of our assessments, TQ Nordic will process the following personal data:
Other personal data shared with TQ Nordic by the Data Controller may include CVs, previous employment information, previous evaluation results, or similar.
As a Data Processor, TQ Nordic collects and stores this information in accordance with the Data Controller’s instructions.
Legal basis for processing: Your consent. Since the collection of your personal data is required for TQ Nordic to fulfill our obligations under the assignment agreement with your current, future, or potential employer, you must consent to the processing. Without your consent, you cannot complete TQ Nordic personality assessments and/or skills tests. The processing is also necessary to satisfy our clients’ legitimate interest in evaluating, developing, and improving you as a candidate.
Storage period: Up to 24 months after the assignment has been completed.
TQ Nordic may sometimes request personal data and demographic information used for psychometric analysis, such as constructing norm groups. The personal data we may request includes education, age, sector, and a question about gender. The gender question is required solely to generate reports using correct grammatical forms. All other questions are optional.
These optional personal data will only be used in a de-identified/anonymized format and will not be shared with the employer. You can choose not to respond to optional questions and still complete the assessment.
Any published end products will only refer to aggregated data and will not identify you personally or include results attributable to you.
Legal basis for processing: Legitimate interest, as the processing is necessary to evaluate candidates compared to specific benchmark groups and to develop and improve our assessment tools and services.
Storage period: Up to 24 months after collection.
To evaluate, develop, and improve our services, products, and systems, we need to collect technical data regarding the devices used and their settings (e.g., user interface, IP address, browser settings, time zone, operating system, and platform). For this processing, TQ Nordic is the Data Controller.
Legal basis for processing: Legitimate interest.
Storage period: From the time of collection and for a period of 36 months thereafter.

When your personal data is shared with processors or sub-processors, it is only for purposes consistent with those for which the Data Controller collected the data (e.g., to fulfill obligations under our assignment agreement). We evaluate all processors and sub-processors to ensure they provide sufficient guarantees regarding the security and confidentiality of the personal data. We also have written agreements with all processors and sub-processors ensuring the protection of personal data and compliance with restrictions regarding international transfers.
If TQ Nordic is sold, acquired, or merged, the registered personal data will be transferred to the new organization, which will be obligated to comply with this privacy policy.
We always strive to process your personal data within the EU/EEA, and all our internal IT systems are located within the EU/EEA. However, during system support or maintenance, data may need to be transferred outside the EU/EEA (e.g., if a processor or sub-processor is located or stores data outside the EU/EEA). In these cases, only the data necessary for the purpose (such as log files) will be shared.
Regardless of where your personal data is processed, we take all reasonable legal, technical, and organizational measures to ensure that the level of protection is equivalent to that within the EU/EEA. If personal data is processed outside the EU/EEA, protection is ensured through an adequacy decision by the EU Commission or through appropriate safeguards such as standard contractual clauses or binding corporate rules.
We never retain your personal data longer than necessary for the purposes for which it was collected and according to the instructions of the Data Controller. However, data is kept no longer than 24 months from the time the position is filled.
Personal data processed on behalf of TQ Nordic for analysis purposes is retained until anonymized and then deleted, but no later than 24 months after collection.
Personal data that must be retained to comply with legal obligations (e.g., accounting laws) will be stored for the required period.
Right of access
If you want more information about how your personal data is processed, you can request access to the data via the employer responsible for the evaluation or recruitment process you are part of. TQ Nordic will only release the report as a Data Processor upon instruction from the employer.
In cases where TQ Nordic is the Data Controller (as described above regarding analysis data), you can request a data extract directly from us.

Right to rectification
You may request that your personal data be corrected if incorrect or incomplete. Contact the Data Controller (“DC”).
Right to erasure
You can request that your personal data be erased if:
TQ Nordic’s systems are not intended for individuals under sixteen (16) years of age, and we require users to be sixteen or older.
Note: the DC may deny your request if legal obligations require retention (e.g., accounting or anti-money-laundering laws). In such cases, the data will be blocked from use for other purposes.

If processing is based on consent or an agreement, you may request to have your personal data transferred to another Data Controller, provided this is technically feasible.
Sensitive data
You are not required to provide any sensitive personal data. If you voluntarily provide such data, you consent to its processing under this privacy policy. TQ Nordic discourages providing unnecessary sensitive data.
